Position Overview

Reporting to the Director of Design and working closely with all Design team staff, the Design Coordinator is responsible for the daily upkeep and organization of the Design Office and Studio. The Design Coordinator supports multiple functions within the Design department and assists with communications with other museum departments and external design-related collaborators.

Essential Functions

Communications and Scheduling

Compile and maintain the production schedule
Communicate with external design-related collaborators and vendors
Schedule design reviews and maintain deadlines
Schedule meetings with Design staff and internal museum staff as well as external vendors
Book meeting rooms
Attend weekly production meetings and monthly install planning meetings

Office and Studio Management

Order office and studio supplies.
Order images from internal photo department or research and order images through external sources
Organize display case inventory and keep track of related display apparatus

Administrative Office Support

Generate purchase orders and process invoices
Track costs versus budget for department and exhibition projects
Maintain department’s operating budget
Process museum related forms for Design staff
Archive completed projects
Organize materials library and process sample requests
Help plan department related functions
Other duties as needed or required

Secondary Functions

Production

Assist with production and prep work during busy times
Assist with scaling images for inclusion in 3D and CAD drawings
Assist and liaise with project managers in order to maintain production milestones

Qualification Requirements And Characteristics

Bachelor’s Degree in relevant studies
2 to 5 years related experience in a fast-paced environment
Fluency in the Adobe Creative Suite and Microsoft Office
Familiarity with Oracle procurement systems
Strong organizational, administrative, and communication skills
Ability to work collaboratively, professionally and gracefully with a wide range of colleagues and vendors
Excellent organizational and planning skills with ability to multi-task without compromising attention to detail and follow-through
Able to work under stressful situations and tight deadlines
Ability to complete projects within budget and on schedule
Familiarity and appreciation for design, art history and museums

Physical element: During demanding exhibition projects/schedules, must be able to stand and move around for extended periods of time

Salary And Schedule

Salary: $54,000 - $57,000

Full-Time, 35 hours per week
