[Overview]
We are seeking a highly organized and proactive Artist Operations Coordinator to work closely with a globally recognized music group. Under the supervision of the Sr. Artist Operations Manager, the Artist Operations Coordinator will work closely with the artists, label, partners and management team to coordinate and execute the artists’ activities such as day-to-day schedules, shoots, shows, travel and events. The ideal candidate thrives in a fast-paced environment and has flexibility to travel extensively. This role requires exceptional organization, scheduling and communication skills. This person should have the ability to coordinate on-site dynamics through effective communication with artists and partners.
[Key Responsibilities]
Day-to-day Coordinating
- Schedule artists’ day-to-day activities
- Arrange and coordinate transportation for artists and the Artist Operations team, including flights, hotel accommodations and ground transportation
- Serve as the liaison between artists, internal teams, and external partners to coordinate priorities and expectations
On-location Coordinating
- Travel with artists and be present on location (studios, shoots, events)
- Serve as the main point of contact for the Artists and Artist Operations Team when on location (shoots, shows, events)
- Lead on-location Artist Operations during artist activities, ensuring smooth execution
- Provide briefs regarding schedules, tasks, and details to artists and Artist Operations Team
- Oversee Artist Operation luggage and equipment
- Guide Artist Operations Team when Sr. Artist Operations manager is not present
Administrative Duties
- Assist in invoicing and expense management tasks for Artist Operations Team
- Respond to emails and requests in a timely manner
- Monitor Artists’ deliverables from label, management or partners
- Provide regular updates to Sr Artist Operations Managers about Artists, Artist Operations Team, shows, shoots, and events
[Requirements]
- 2+ years working in entertainment or music industry professional sets, shoots, shows or tours
- Ability to travel domestically and internationally up to 50% of the time
- Flexibility to work irregular hours, including holidays, evenings and weekends
- Strong organizational skills with the ability to handle multiple tasks simultaneously
- Ability to maintain discretion and professionalism in all situations
- Strong problem-solving skills and the ability to remain composed in high-pressure environments
- Exceptional communication and interpersonal skills, with the ability to work effectively across diverse teams and cultures
- Experience working directly with talent, understanding their needs and providing support

- Multilingual proficiency to navigate global operations effectively.
- Strong cultural awareness and sensitivity, with an understanding of international dynamics.
- Experience in producing, project management or talent management.
Salary Range: $65,000-$75,000/year
