Job Title: Artist Management Coordinator
Location: New York, NY (Hybrid)
- Pay Range: $27.00 - $30.00 USD hourly
Position Summary
The Artist Management Coordinator will report to the Head of Artist Mangement. They will work with the Artist/Resource Mangement team to support project and production needs, as well as support the EVP, SVP and Executive Producers with client and production related needs.
Main Duties
The Artist Management Coordinator will support the onboard of Project Hires and Independent Contractors with both HR and Engineering teams (notifying HR with hiring information, notifying Eng team with machine needs etc.). They will follow up with new starters after onboarding and escalate any issues to appropriate team(s). They will work with artists and production (staff and project hires) to address questions / concerns regarding show assignments. They will collect and organize project/production files (treatments, calendars, scripts, etc) in company Gdrive folders. They will reach out to project hires on a regular basis and maintain holds for project and studio needs, both present and future. Other duties include:
- Walk new hires through Timekeeping process
- Update timesheets on a weekly basis and prep them for manager approvals
- Update & send out Daily Artist Schedule and/or Flame Reports as needed
- Collect and organize internal feedback on project hires when their bookings are complete
- Organize travel for project shoot supervision needs
- Organize business travel for EVP/SVP and Executive Producers as needed
- Assist EVP/SVP with reservations for client events/lunches/dinners
- Assist with planning and scheduling Staff and client events (local happy hours, in-office client happy hours, etc.)
- Create Expense Reports for EVP/SVP(s) and artists as needed
- Source and review new artists and production project hire candidates with supervisors & HOP
- Participate in weekly meetings & regroups (Production call, gantt reviews, SDFX regroups, etc)
- Assign seating for onsite as needed
- Assist with updating documention for machine assignments
- Keep CETA up to date with project hire holds, sick days, approved vacations etc.
What You Bring
The ideal candidate will be a team player, who can work across departments and with a variety of people. They will have a calm demeanor under pressure and bring the ability to problem solve quickly. They will bring an ability to prioritize and shift between tasks as business needs change. They will bring excellent oral and written communication skills. They will bring an ability to work independently and manage their time. They will bring an ability to escalate issues effectively and to the appropriate team(s). The ideal candidate will also bring the following:
- Working knowledge of Microsoft Suite (Word, Excel, etc)
- Working knowledge of production scheduling software
- Working knowledge of Google docs
- Experience scheduling or coordinating at a VFX studio
- Understanding of VFX post-production processes & pipelines
- Experience with timekeeping software (Ex: Mediapulse, Hubdrive, etc.)
- Experience as an Assistant or Executive Assistant
- Experience organizing travel
